Job Summary

ACCO Brands is seeking a Administrative Assistant to provide temporary support to our Executive Assistant to the Chairman and CEO. We seek an enthusiastic, highly-competent and customer service-oriented professional to perform a wide variety of administrative duties such as coordinating meetings and conference/video calls, assisting with fundraising activities within the organization, calendaring, ordering office supplies, filing/copying/scanning, assisting with various projects and assignments, expense reports, handling travel arrangements and typing travel itineraries. This position reports to the Executive Assistant to the Chairman and CEO. 

Responsibilities

Main responsibilities include, but are not limited to:

  • Timely filing of electronic and hard-copy documents and maintaining organization and integrity of files, records, and confidential data
  • Handling incoming requests for information and data
  • Preparing and modifying documents including correspondence, reports, drafts, memos and emails
  • Coordinating meeting and travel arrangements
  • Maintaining office supply inventories 
  • Processing and track expenses
  • Assisting with annual charitable giving campaign
  • Assisting with meeting details for Board of Directors Meetings
  • Assisting with various employee events throughout the year

Expected hours per week: 25 hours (max 29 hours), flexible schedule available.

Expected duration of temporary assignment: October 2023 – October 2024 (12 months)

 

Qualifications

  • High school degree required 
  • 2+ year office experience required
  • Intermediate skills in PowerPoint, Excel, Word and Outlook/calendaring and proficient overall computer skills required, including internet/other research methods and sources
  • Proven ability to multi-task and stay focused in an ever-changing environment required, interact professionally and with tact with inside and outside contacts, and diplomatically handle the most delicate situations
  • Familiarity with making travel arrangements a plus (with travel agencies and/or online programs)
  • Strong proofreading skills to ensure accuracy of work
  • High level of professionalism required, C-suite or executive experience a plus
  • Extremely detail-oriented with high organizational skills required
  • Confidentiality critical to role
  • Sense of urgency and "think on your feet" a must
  • Excellent written and oral communications skills required
